Office Associate/Translator

Southern Seven Health Department is seeking applications for a partial year (9 mos.), full time position that is based at the Anna Head Start in Anna, Illinois. This position does come with a benefit package, including personal and sick time accrual, holidays, health and life insurance, and an employer sponsored cafeteria plan.  This position provides clerical support services to ensure efficient operations at a Head Start site. This position is also responsible for translating services both orally and written for English and Spanish speaking families.

Qualifications:  The applicant must have at least a High School Diploma or GED and be fluent in English and Spanish. Preferences will be given to an applicant with coursework in a secretarial science field and/or previous office experience.

Job Duties:

  • Receives and distributes all incoming phone class and takes messages and forwards to the appropriate personnel.
  • Greets parents/caregivers and visitors and monitors who have entered or exited the building through the entrance through implementation of the security system.
  • Releases children to authorized individuals as per Child's Pick Up List and procedure and requests to see photo identification for those people that are not familiar.
  • Provides translation (oral and written) services to families.
  • Collects and verifies children's attendance from teaching staff and enters data into online data base.
  • Assists in maintenance and tracking of all children files in accordance with policies and procedures. This position does have primary responsibility for filing and tracking.
  • Documents all pertinent information in case notes and shares information with those that need to know.
  • Develops and distributes monthly newsletter and reminders/letters for parents.
  • Takes and distributes minutes of staff meetings.
  • Performs other duties as requested or assigned to meet the requirements of the agency.

The applicant selected for this will be required to pass a Basic Computer Skills Assessment.
